Informal report is different from formal report as it does not contain some of the sections that are included in formal reports. Moreover an informal report is actually used as an outline of formal report. - Firstly, you are required to write an outline of those points which you want to include in your formal report. It would be just like an essay that will include introduction, body of report, conclusions and recommendations. An outline will give you an idea what will you include in your report.
- Report should be addressed in the top left corner of the first page and will contain three elements: a) To whom report will be sent, b) whom it is from (who is the sender), c) date and subject
- After that, you will start introduction and make sure that its first paragraph should contain three to five sentences. Here you will require answering all what, when, where, why and how questions. It is necessary to address what will be discussed in body of report.
- Using the main points of your outline, you will write body section of report. One paragraph should cover each point in three to five sentences. At this stage, you should ensure that these points justify those statements which you have made in introduction.
- Next, you will write conclusion which will repeat issues which are mentioned in introduction. You will also require summarizing points of body of report. Make sure that the final sentence of your conclusion should show the importance and urgency of issues that you have addressed in your informal report.
- After conclusion, it is necessary to include your contact information. Now you will create final section of your informal report named Recommendations. This section will include the list of people who have supported your point of view that you addressed in your report. These people may include your co-workers, colleagues and other managers. You will also add their names and contact information along with their handwritten signatures at the end of report.
